A biometric attendance system records when employees start and finish work using a face, fingerprint or palm scan. For UAE businesses it is also the starting point for overtime, leave and WPS payroll. This checklist covers what to compare before you buy.
1. Device type
- Face recognition is fast and touch-free, and works well for large teams and sites with gloves or dust.
- Fingerprint devices are affordable and accurate in offices, but can struggle with worn or dirty fingers on construction and industrial sites.
- Palm and card options suit special cases, such as visitors or high-security areas.
Before you buy devices, check which brands your attendance software supports. TopTimePro, for example, works with ZKTeco and AiFace devices.
2. Cloud connection
Older devices are connected to one PC on the local network, and someone has to download the logs. Modern devices push each punch to the cloud over the internet, so head office sees every branch in real time without a VPN or a static IP. Ask whether the device keeps punches when the internet is down and sends them when it reconnects.
3. Field and remote staff
Drivers, sales teams and site staff cannot always reach a device. A mobile app with geo-fencing lets them clock in only when they are inside an approved location, and can capture a selfie for verification.
4. Shifts and UAE working hours
The system should handle the realities of UAE workplaces:
- rotating and night shifts that cross midnight;
- reduced working hours during Ramadan;
- weekly rest days that differ by team;
- public holidays announced at short notice.
5. Overtime and payroll
Attendance data is only useful if it reaches payroll correctly. Check that the system calculates overtime under the UAE Labour Law, with 125% for normal overtime and 150% for work between 10 PM and 4 AM or on a rest day, and feeds approved hours straight into salaries and the WPS file. Try our UAE overtime calculator to see how the rates work.
6. Data protection
Under the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021), biometric data is treated as sensitive personal data. Before you roll out devices:
- tell employees what is collected, why and how long it is kept;
- limit who can access attendance and biometric records;
- store templates securely and delete them when an employee leaves;
- check the rules that apply in your free zone, such as DIFC or ADGM, which have their own data protection laws.
7. Multi-branch management
If you operate in more than one emirate, look for one dashboard for all branches, with device status, the ability to add or remove employees on devices remotely, and reports by branch and department.
8. Local support
Installation, network setup and the first payroll run go faster with a local team. Ask who installs the devices, who answers support calls and in which time zone.
Quick comparison checklist
| Question | Why it matters |
|---|---|
| Does the device push punches to the cloud? | Real-time data from every branch without IT work |
| Is there a mobile app with geo-fencing? | Covers field and remote staff |
| Are night shifts and Ramadan hours supported? | Correct hours and overtime |
| Does attendance flow into payroll and WPS? | No manual re-entry or file errors |
| How is biometric data protected? | PDPL compliance |
| Who provides support in the UAE? | Faster setup and fixes |
